This Privacy Policy explains how AnnotateAudio (“AnnotateAudio,” “we,” “us,” or “our”) collects, uses, discloses, and protects information when you use our mobile application and related services (the “Service”).

1. Information We Collect
A. Account Information
- Email address: We collect your email address to create and maintain your account and to send one-time passcodes (OTP) for login.
- Authentication information: We use OTP-based authentication and do not require you to create a password.
B. Audio and Transcript Content
- Uploaded audio files: You may upload audio to the Service. We store your uploaded audio so you can play it back alongside your transcript.
- Transcripts and related outputs: We generate and store transcripts and associated outputs (such as speaker labels, summaries, and chat-related responses if you use those features) so you can access them in the app.
C. User Actions and Deletion Requests
- Deletion actions: If you delete files or delete your account, we process those requests as described in “Your Choices and Controls.”
D. Technical and Service Data (Limited)
We may collect limited technical information necessary to operate and secure the Service, such as:
- Device and app information (e.g., app version)
- General logs related to service performance and security
We do not use your data for advertising.
2. How We Use Information
We use the information we collect to:
- Provide the Service (including uploading, storing, playing audio, generating transcripts, and displaying your content)
- Authenticate you via OTP and manage your account
- Maintain, troubleshoot, and improve reliability and performance
- Protect the Service from fraud, abuse, and security incidents
- Communicate with you about important service-related issues (e.g., account or support communications)
3. How We Share Information
We do not sell your personal information.
We share information only in the following limited circumstances:
- Service providers: We use cloud infrastructure and related vendors to host and operate the Service (for example, AWS). These providers process data on our behalf and are permitted to use it only to provide services to us.
- Legal and safety: We may disclose information if required to comply with applicable law or legal process, or to protect the rights, safety, and security of users, the public, or the Service.
- Business transfers: If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction.
4. Data Storage and Retention
- Audio and transcripts: We store uploaded audio, transcripts, and related outputs to provide playback and access within the app.
- Retention period: We retain your content and account information until you delete it.
- Deleting files: When you delete an audio file or transcript in the app, we delete it from our active systems.
- Deleting your account: When you delete your account, we delete your account information and associated content from our active systems.
Note: Backup copies may persist for a limited period due to standard backup and disaster recovery processes. We maintain backups to protect against accidental or malicious loss and to ensure service continuity.
5. Your Choices and Controls
You can:
- Access and manage your content in the app
- Delete individual files (audio, transcripts, and related outputs)
- Delete your account at any time (which deletes your account and associated content)

6. Security
We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, or alteration. No system can be guaranteed 100% secure, but we work to protect your information and improve our security over time.
7. Children’s Privacy
The Service is not intended for children under 13 (or the minimum age required by your country). We do not knowingly collect personal information from children. If you believe a child has provided personal information to us, please contact us at contact@annotateaudio.com and we will take appropriate steps to delete it.
8. International Users
We operate the Service using infrastructure in the United States (including AWS). If you access the Service from outside the United States, you understand that your information may be transferred to and processed in the United States and other locations where our service providers operate.
9. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make changes, we will update the “Last updated” date above. Material changes may also be communicated within the Service or by other appropriate means.
